A good appointment reminder does three things: it says what, when, and where; it comes from a sender the customer recognizes; and it makes the next step one tap. The templates below cover the full appointment sequence, from the moment someone books to the moment they rebook.
Each template comes in two versions:
- Plain-text (SMS): short enough for a standard text, with reply keywords.
- Interactive (RCS): sent from your verified brand, with your logo, a card showing the details, and buttons instead of reply codes.
Replace anything in [brackets] with your details.
When should you send appointment reminders?
A dependable sequence looks like this:
- Booking confirmation: right away
- Advance reminder: 3 to 7 days out, for appointments booked well ahead
- 24-hour reminder: the day before
- Day-of message: a few hours before, with arrival details
Then have templates ready for what happens next: confirmations, reschedules, cancellations, missed appointments, and rebooking.
Appointment confirmation text templates

Appointment reminder text templates
3. Advance reminder (3 to 7 days out)
Plain-text:
[Business]: Reminder, your [Service] is [Day, Date] at [Time]. Need a new time? Reply R. Reply STOP to opt out.
Interactive:
Card: "Your appointment is coming up." [Service] · [Day, Date] · [Time]
Buttons: Confirm · Reschedule · Cancel
4. 24-hour reminder
Plain-text:
[Business]: See you tomorrow at [Time] for [Service]. Reply C to confirm, R to reschedule, or X to cancel.
Interactive:
Card: "See you tomorrow." [Service] · [Time] · [Address], with a map image
Buttons: Confirm · Reschedule · Cancel
5. Day-of arrival message
Plain-text:
[Business]: Your appointment is today at [Time]. [Parking or check-in note]. Running late? Reply L.
Interactive:
Message: "Today at [Time]. [Parking or check-in note]."
Buttons: Get directions · I'm running late · Check in
Reschedule and cancellation templates
6. Reschedule
Plain-text:
[Business]: No problem. Reply with a day that works, or call [Phone] and we'll find a new time.
Interactive:
Message: "No problem. Pick a new time:"
Carousel: the next available times, each with a "Book this time" button
7. Cancellation confirmed
Plain-text:
[Business]: Your [Day] appointment is cancelled. Reply B anytime to book a new one.
Interactive:
Message: "Your [Day] appointment is cancelled."
Buttons: Book a new time · Not right now
8. Waitlist offer
Plain-text:
[Business]: A [Service] opening just came up [Day] at [Time]. Want it? Reply YES to book.
Interactive:
Card: "An opening just came up." [Service] · [Day] · [Time]
Buttons: Book this slot · Not this time
Making cancellation easy is a revenue move, not a courtesy. A cancelled slot can be offered to the waitlist, but an empty chair at 2:01 can't be sold. Template 8 is where recovered revenue lands. We cover the full argument in How to Stop Losing Revenue to No-Shows.
Missed appointment text message templates
9. Missed appointment
Plain-text:
[Business]: We missed you today, [Name]. Reply R to rebook [Service], or call [Phone].
Interactive:
Message: "We missed you today, [Name]. Want to find another time?"
Carousel: the next available times
Buttons: Talk to us
Keep this one warm. The goal is getting them back on the calendar, not scolding them.
Rebooking template
10. Post-appointment rebook
Plain-text:
[Business]: Thanks for coming in! Ready to book your next [Service]? Reply B and we'll send times.
Interactive:
Message: "Thanks for coming in, [Name]."
Buttons: Book my next visit · Rate today's visit
The "Rate today's visit" button can start a tap-to-answer survey. See Text Message Surveys Customers Actually Finish for the survey flows.
Adjusting templates for your business
- Dental and medical: Add "Please bring your insurance card" or "Arrive 10 minutes early for paperwork." Keep treatment details and health information out of reminders, and check your privacy requirements with your compliance team.
- Salons and spas: Add stylist or provider names ("with [Stylist]"). Rebooking reminders work well timed to the typical service cycle.
- Auto service: Add the vehicle ("your [Year Make Model]") and send a "your vehicle is ready" message with a pickup button.
- Home services: Add a "technician on the way" message with the technician's name and photo in the interactive version, so customers know who's coming to the door.
- Restaurants: Use the same structure for reservations, with a "Running late?" button and a waitlist offer for cancellations.
Plain-text vs. interactive: what's the difference?
The plain-text versions ask customers to remember and type codes like C, R, and X. The interactive versions replace every code with a button, show the details on a card, and arrive from your verified brand with your logo and name. That makes a reminder much easier to trust than a text from an unknown number.
With nativeMsg, you don't have to choose between them. The interactive version goes to phones that support RCS, and the message is delivered as SMS to phones that don't, so every customer gets a reminder.
Frequently asked questions
What should an appointment reminder text say?
The business name, the service, the date and time, the location, and one clear next step, such as confirm, reschedule, or cancel.
When should you send an appointment reminder?
At booking, the day before, and a few hours before. Add an advance reminder 3 to 7 days out for appointments booked well in advance.
Should appointment reminders include a cancel option?
Yes. A cancellation you hear about early can be offered to someone else. A no-show can't.
Do customers need to opt in to appointment reminders?
Customers should agree to receive texts from you, and every message should include a way to opt out. Check your specific requirements with your compliance team.
Build your reminder sequence free
Paste this into ExperienceAI and it builds the full journey:
"When a customer books, send a confirmation with the appointment details and buttons to add it to their calendar, get directions, or reschedule. Send a reminder 24 hours before with confirm, reschedule, and cancel buttons. If they cancel, offer the open slot to the waitlist."
Then send it to your own phone and tap through every step. No card and no sales call.
